431700 2006-02-17 08:13:00 I use a medical program which can take information from the database and prepopulate patient info such as dob, address etc into a Word document (XP Professional).

What I want to do, on a regular daily basis, is to copy individual word documents, which are forms, with this information into an Outlook Calendar appointment.

Over the past few days I have laboriously made up the form (a prepopulated word doc) and chosen to start the process of sending it as an email attachment. When the word doc icon appears in the email, I copy, close and when I am asked whether to save it on the clipboard, I say yes. Then I go to Outlook Calendar, open the appointment and then paste.

It seems a roundabout way of doing this. I could save the file and then attach to the Outlook Calendar as an attachment, however keeping as a temporary file seems a quicker option if I knew the best way to do it.

A colleague, who is an IT guy, has said that he thinks that there is some way an email can be morphed into an appointment, but does not know how.

What is the easiest way I can do this please ?

431702 2006-02-20 20:45:00 In 2003 with the calendar open and the appropiate day selected I go "New" > Insert > Item and my inbox is automaticaly highlighted ready to insert whichever email I select

Don't know if this works in Office XP though

Outlook is astonishingly complex and versatile - worth just playing around to see what happens, and depends on what you really need. For starters:

Maybe you can cut/paste text from the database into the appointment notes field (or create a database "report" with the right info to cut from?)?

From an appointment, chose Insert / File - note can insert either the Word document itself (ie a unique copy) or a link to a Document stored elsewhere.

From My Documents folder, drag a file to the Outlook icon in the taskbar, watch OL open, and continue dragging to Calendar. Will open a "blank" appointment with link to that document.
