| 548918 | 2007-05-10 21:45:00 | I'm hoping there's a MS Access guru or 2 out there that can help me! We have a database here at work which I'm now in charge of updating (i.e. I didn't create it). It's used to manage our precedent documents. How it works is this: 1. A user opens a shortcut to the database and it brings up a form which they can search for keywords/title/type of document/etc. 2. The search results appear in a subform below. This is linked to a table in a separate database. 3. New documents are entered into the database by our librarian using a data entry form in the same database as 1. What I'm trying to do is create a hyperlink in the search results so that a user can click the hyperlink to preview the document (at the moment the user just scribbles down the number and has to go look for a hard copy in a shelf of folders). Obviously this hyperlink will be different for every document. The documents are autonumbered so I don't know if I can hyperlink these - this would work best but am happy to create a separate field with the hyperlink. I also need to create an easy way for the librarian to enter the hyperlink. I've tried a few methods but can't seem to get my head around it. Any help greatly appreciated. Cheers Susan |

| 548919 | 2007-05-11 02:43:00 | Hi, a few ways to do this and one would be to create a report or form and then have it filtered to display the particular record in the table based on the item selected. Im assuming you mean file information in the db rather than physical files on your hard drive? I have created a books database where I have information about the books I have and if you click on a button it displays a new form with that author so perhaps thats the functionality your after? |

| 548920 | 2007-05-11 23:48:00 | Hi Susan Following on from Parry, there are some useful resources here: Create a hyperlink field (office.microsoft.com) Set a hperlink base for the database )optional (office.microsoft.com) Lots of info on hyperlinks (office.microsoft.com) and Troubleshooting hyperlinks (office.microsoft.com) I take it steps 1 to 3 are already working? And you want to get the hyperlinks set up and working? If so, the link above should help you get started. My initial thought is to add a new hyperlink field to your document table and to show that (if it has been populated) along with the other search results in your existing subform. HTH, Andrew |
