| 721721 | 2008-11-20 22:04:00 | Just have network shares. I think I've come up with something. It's not perfect, but should be a vast improvement. I think the biggest barrier is going to be to educate the troops to put things in the correct place and follow the naming conventions. |

I had to do exactly the same thing here about 2 years ago We had an old server and upgraded to a new one two years ago just after i started so transfered everything (in a mess) to the new server and started sorting it from there Also had some input from others which is invaluable some times but for us the new File Server now has three shared drives: V: misc (any thing not to do with client or admin) ie scan stuff, ftp etc W: work (all client work stored under client name then by job number from there) I try to archive any thing that is finished from 12 months of job end but as hard drives are so large and cheap now i dont keep up as much as i probably should. X: admin (any admin or IT stuff goes here) ie marketing blah blah Then i have a separate place for Archive etc but is irelevent except i changed all that to the same format (client then job number) Good luck, remember not to forget that some people do have good ideas so ask for input, you get more buyin then and some think they had their 2 cents worth..!! especially if someone has come from another company and they had good systems there. |

Yeah, done that! Was the first thing I did. Getting there - ended up with something quite similar to what you describe actually. J: (Daily Backup) -Jobs divided into the two main sectors of the company, then by client number. (Each sector has diff number series so that is easy to do.) -Admin (HR, Databases, Timesheets, Company info and marketing) P: (Weekly Backup) -Archives -Shared Resources (Standards, Publications, Forms, Templates, etc) -User folders -IT related Going to hold a meeting early next week for feedback on suggested plan. Have done a cool Visio diagram for everyone to look at. |

| 721724 | 2008-11-21 06:46:00 | I'm not sure how to react to that. Either way it wasn't the most useful of responses was it? FYI 1) I am not the IT manager, so it is not my department to setup the file server in the first place. 2) I have worked here for 4 years, the file server has been going for double that. 3) We are a medium-sized company that has grown from a small company. The file-server has grown in an ad-hoc fashion. We did not have the luxury of a clued-up IT manager to enforce things a certain way from the start - we don't even have a full-time IT person. Things have been added to by the various staff that have passed through the doors over the years. 4) Our staff are experts in their field, their field is not "file server tidying". 5) My personal work is well organised, but my system would probably not work for the whole company. I cannot find anything from other departments as every individual has their own system as no system was used from scratch. I have some ideas about how I think things could work, but I'm reaching out to see what others have done to avoid re-inventing the wheel. Helpful comments are appreciated. I think your point No.1 is the key thing here. If your boss doesn't like it, get yourself a new boss. |

Sour grapes comments, and useless drivel used to be the domain of trolls, not regular members. Go outside and get some fresh air and lighten up. My boss is a legend, and I really enjoy working with him. I'm more than happy to spend the time sorting something out to benefit the entire team and get a system we all like to use rather than have the company pay some over-priced, under-educated, fresh-from-uni tech support guy from the local computer shop some exhorbitant fee to come move a few files around and have us end up with some esoteric filing system. All I was after was some cunning ideas to help me on my way. Which I did get, thanks. If you don't have anything better to do than sit at your keyboard directing unhelpful remarks regarding subject matter you evidently know nothing about, I pity you. Right, I'm off to go fishing.
