1451620 2018-07-17 03:03:00 The editor of our local Ratepayers Association newsletter is having a problem with producing a grayscale PDF of the newsletter. She doesn't have the full Adobe Acrobat, so she is using Microsoft print to PDF from Publisher to produce the file, which then gets emailed to our commercial printer. She has "composite grayscale" as one of the print options.
The issue is that when the printer prints it, it comes out as color printed in b/w (if you see what I mean), so there are no shades of grey. If I inspect the document in Acrobat then the colorspace for everything is DeviceRGB which presumably accounts for the problem. If I produce the PDF using Adobe PDF then the colorspace is DeviceGray and the printer can process that OK.

At the moment it looks like our options are:

Buy a licence for Adobe DC Standard at $20/month (there may be a non-profit discount)
Include me in the workflow (which I really don't want if it can be avoided)


Unless anyone here has an idea how we can achieve what we want by some other means.

I know there are free PDF creation tools around, but none of the ones I've seen really cut the mustard.

1451621 2018-07-17 03:52:00 Maybe a silly suggestion, but can't you just print to PDF in colour then have the printer print that in greyscale ? I print colour PDFs fairly often at work in black and white and they seem to be greyscale to me.

And I don't use the print to PDF function, but many office programs now have a direct save to PDF option that might work better if publisher has that. I have to convert RTF files to PDF frequently and I just open them in word and save them as PDF.

The printers are actually sponsoring the newsletter in return for an advert, so it is not costing us anything, but which also means I need to tread carefully. If I print one of these "greyscale" pdfs on my printer it works fine, so I don't know what they are doing differently.

Save to PDF in Publisher doesn't give an option to change the colorspace, unless there is an option I haven't discovered.

1451623 2018-07-17 05:15:00 I use nitro reader (free) when opening publisher and selecting an include template, when printing selected Nitro. There are two options ( as pictured) Right hand side at bottom of menu.

If I select grayscale (2nd Picture) it saves and prints out on my colour printer exactly like the picture.

If its saving the PDF as grayscale then it shouldn't print in colour.

I don't know what technology the printer is using, but it appears that when they print a "colour" file on a black and white printer, they don't have the option to convert it to grayscale. They also must use some of the document metadata to decide whether it is colour or black and white.

See the attachments. They show the properties of the same object in the PDF when produced by the two methods:
"PrintToPDF" was produced by MS Print To PDF and shows the colorspace as "DeviceRGB". "PrintToAdobe" was produced using the Acrobat printer and shows the colorspace as "DeviceGrey". In both cases the printer option was "Composite Grayscale".

I'll check out NitroPDF and see what that does.

Nah, checked that out myself. There is no convert to Greyscale option.

1451628 2018-07-17 06:59:00 Foxit reader also has a PDF printer, it is free. Windows 7 use version 7, Windows 10 use version 8 or 9. Free download. mzee (3324)
1451629 2018-07-18 10:09:00 Tony your printer has the ability to do what you want, it’s person that is running it that is clueless. Unfortunately depending on what copier these guys are using it will also depend on what rip they are using. I take it this isn’t going on press. As I’m not familiar with publisher a quick google gave me this.

If you don’t mind me asking who you are using. You can PM me if you don’t want to post. Should be able to tell from their website what equipment they are using.
We convert god knows how many customer supplied PDFs every day to print in B&W. Never an issue if the PDF has been packaged properly. On a side note if this is a B&W document choose single colour and not rgb
